Soluna Soulwork, PLLC (“Soluna Soulwork,” “we,” “us,” or “our”) is a North Carolina professional limited liability company providing mental health and wellness‑related professional services. This Privacy Policy explains how we collect, use, protect, and disclose information when you visit solunasoulwork.com (the “Site”) or communicate with us by phone, email, or text message. It also sets out the terms and conditions that apply to our SMS/text messaging program, described in the clearly labeled section near the end of this page. By using the Site or providing us your contact information, you agree to the practices described below.
Information we collect
We may collect the following categories of information:
- Contact information you provide, such as your name, email address, phone number, and mailing address — for example, when you submit a contact form, request a consultation, or schedule an appointment.
- Information submitted through website forms, such as inquiry details, scheduling preferences, or messages you send us.
- Communications you send us by email, phone, or text message, and records of those communications.
- Payment or billing information you provide in connection with services, where applicable. This is typically processed through our scheduling or payment platforms, which maintain their own security safeguards.
- Technical and usage information collected automatically when you visit the Site — such as IP address, browser and device type, pages viewed, and referring pages — typically gathered through cookies or similar technologies (see Section 6, “Cookies & Website Analytics”).
We do not ask visitors to submit clinical, diagnostic, or other sensitive health information through ordinary website forms or SMS, and we ask that you not send this type of information through those channels. See Section 4, “Not for Emergencies or Sensitive Clinical Information,” below.
How we use your information
We use the information we collect to:
- Respond to inquiries and requests for information;
- Schedule, confirm, and manage consultations and appointments;
- Communicate about scheduling changes, reminders, and general client support;
- Operate, maintain, and improve the Site;
- Meet applicable legal, licensing, and recordkeeping obligations; and
- Protect the security and integrity of our Site and business operations.
We do not sell your personal information, and we do not use it for automated decision‑making that produces legal or similarly significant effects.
How we protect your information
We use reasonable administrative, technical, and physical safeguards designed to protect the information we collect from unauthorized access, use, disclosure, or loss. That said, no method of transmission over the internet, no email system, and no SMS/text messaging system is completely secure, and we cannot guarantee the absolute security of information sent to us by any of these means.
Not for emergencies or sensitive clinical information
Our website forms, general email address, and SMS/text messaging line are administrative and informational channels. They are not monitored continuously, are not designed for emergency use, and — unless a clinician has told you otherwise in writing about a specific secure platform — are not a HIPAA‑secure or encrypted way to send protected health information.
Please do not use website forms, email, or text messaging to send:
- Clinical, diagnostic, or treatment‑related information, or other sensitive health information;
- Anything intended to become part of your confidential clinical record; or
- Any communication during a mental health emergency or crisis.
If you are experiencing a mental health emergency or crisis, call 911, go to your nearest emergency room, or call or text 988 to reach the Suicide & Crisis Lifeline. For clinical communications, please use the secure method your clinician has identified for that purpose.
When we may disclose your information
We do not sell, rent, or share your personal information with third parties for their own marketing or promotional purposes. We may disclose information in limited circumstances, including:
- To service providers who perform services on our behalf (for example, scheduling software, website hosting, email, or SMS/text messaging platforms), who may use your information only as needed to provide those services to us;
- When required by law, regulation, court order, or legal process, or to respond to a lawful request from a public authority;
- To protect rights and safety — ours, our clients’, or others’ — including in matters involving suspected fraud, abuse, or imminent risk of harm, consistent with our professional and legal obligations;
- In connection with a business transition, such as a merger, acquisition, or sale of assets, subject to appropriate confidentiality protections; or
- With your consent.
We do not transfer consumer personal data or SMS registration data to any external organization except contracted processors necessary to provide the service, and only under strict confidentiality and security obligations. We maintain administrative, technical, and physical safeguards to prevent unauthorized access, use, or sharing. This restriction applies even where you have otherwise given consent to the sharing of your information generally — consent does not authorize the transfer of consumer personal data or SMS registration data to any external organization.
Mobile opt-in and consent for SMS/text messaging are never shared with anyone, for any purpose. Every disclosure described in this Policy excludes mobile opt-in and consent data — see the SMS/Text Messaging Terms below for details.
Mobile opt-in and SMS consent data will not be shared or transferred to third parties or external organizations for marketing, promotional, or SMS registration purposes, even with your consent.
Cookies & website analytics
The Site may use cookies and similar technologies, and may use website analytics tools, to help us understand how visitors use the Site, remember preferences, and improve performance. These tools may collect information such as pages visited, time on page, and general device or location information. You can control or disable cookies in your browser settings; doing so may affect how some parts of the Site function. The Site does not currently respond to browser “Do Not Track” signals.
Third-party links & services
The Site may link to third-party websites or services — for example, a scheduling platform, payment processor, or social media page — that we do not own or control. We are not responsible for the privacy practices or content of those third-party sites. We encourage you to review a third party’s own privacy policy before providing it information.
Your privacy choices
You may:
- Decline to provide certain information, though this may limit our ability to respond to your inquiry or provide services;
- Opt out of SMS/text messages at any time, as described in the SMS/Text Messaging Terms below; and
- Ask what information we hold about you, request a correction, or request deletion of information you’ve provided through the Site, subject to our legal, licensing, and recordkeeping obligations — by contacting us using the information in Section 12.
We aim to respond to privacy requests within a reasonable time.
Children’s privacy
The Site is intended for adults seeking information about our services and is not directed to children under 13. We do not knowingly collect personal information from children under 13 through the Site.
Governing law
This Policy is governed by the laws of the State of North Carolina, without regard to its conflict‑of‑laws principles. Soluna Soulwork, PLLC is a North Carolina professional limited liability company; the practice may provide services to clients located in other jurisdictions where its clinicians are appropriately licensed or otherwise authorized to practice.
Changes to this policy
We may update this Policy from time to time. The effective date at the top of this page reflects the date it was last revised. Changes take effect once posted to the Site.

SMS Terms and Conditions
This section applies specifically to SMS/text messaging communications between you and Soluna Soulwork, PLLC.
- Program description
Soluna Soulwork, PLLC uses SMS for informational and conversational communications, including responding to inquiries, consultation scheduling, appointment reminders, scheduling changes, and client support. SMS is not used for marketing or promotional messages.

Message and data rates may apply, depending on your mobile carrier and plan.
- How to opt out
Reply STOP at any time to unsubscribe. After you opt out, you will receive a one‑time confirmation message and will no longer receive SMS messages from us unless you opt in again.
